Pat Tillman Foundation - Fundraising & Program Management With Salesforce
The Pat Tillman Foundation (PTF) identifies remarkable military service members, veterans and spouses and empowers them with academic scholarships, lifelong leadership development opportunities and a diverse, global community of high-performing mentors and peers. Known as the Tillman Scholars, they make an impact globally and in their communities as they lead through action in the fields of healthcare, business, public service, STEM, education and the humanities.
The Pat Tillman Foundation achieves this vision through its scholarship program, leadership training, and a variety of networking and collaboration events designed to encourage both scholars and the public at large to lead like Pat Tillman did: with selflessness, with integrity, intellectual curiosity, and a thirst for education.
Achieving this vision at scale requires a robust technical infrastructure that supports both internal staff and external stakeholders. In early 2020, PTF reached out to OneTenth Consulting to perform a technology assessment and evaluate opportunities to optimize their technology stack. After a series of visioning workshops, interviews, and a technology evaluation, OneTenth drafted their findings and recommendations, encapsulated in a roadmap. The Pat Tillman Foundation retained OneTenth to implement all phases of the roadmap.
The Findings:
Despite the Foundation’s growth and impact increasing year over year, the lack of integration amongst data sources made it challenging to develop a comprehensive picture of each constituent’s engagement. Specifically,
The Programs teams used Salesforce to house scholar data and to support the application process
The Development team used Kindful CRM as its fundraising portal and to house online and offline donations
Several other data sources tracked constituent engagement (Shopify, RunSignUp, and PeopleGrove), none of which were integrated
Staff managed key constituent, partner, and stakeholder data in spreadsheets and separate data sources
Staff managed grant details (status, requirements, deliverables, payment schedules, etc.) in spreadsheets and separate data sources
The Challenge:
The lack of a centralized CRM prevented PTF from having a complete view of a constituent's engagement with the organization. Ultimately, staff wanted the ability to retrieve one constituent’s profile and be able to see what races they participated in, what products they purchased through the online store, whether they are an active scholar or part of the alumni community, and to what initiatives they donated to. All of this allows PTF to gain deeper insights about their constituents, so staff can serve them in more personalized ways. As the organization continued to grow, it became critical to transition off of these disparate systems and into one centralized platform. By doing so, the organization can access one 360-degree view of their constituents, as well as gain the ability to track engagement and build relationships - creating more opportunities for synergy between programs, marketing, and development.

Implemented and integrated Qgiv, as PTF’s online donation platform
Integrated SurveyMonkey Apply and Form Assembly to support the application and survey processes
Integrated Campaign Monitor to centralize email marketing efforts and communications
Integrated Cloudingo for data hygiene and duplicate management
Migrated relevant data from Kindful CRM and other end-user data sources
Developed reports and dashboards
Collaborated for end-user training
After using the system for several months and adhering to OneTenth’s “crawl, walk, run” approach to CRM implementation, PTF decided to further extend and enhance their system. OneTenth implemented the eShopSync solution to allow all Shopify transactions to seamlessly flow into Salesforce without any user intervention. As the Pat Tillman Foundation embarks on 2023, planned enhancements include implementing RunSignUp’s integration with Salesforce to capture race registrations and an integration with PeopleGrove to track alumni engagement.
